Event Paperwork

1.0 — Village fetes, charity runs, food markets, fireworks nights

Every document your council will ask for, named before it asks.

Describe your event once — what it is, where, how many people, which activities.

You get a Requirements Report: every document that event triggers, the guidance behind it, and the deadline to hit.

The report is free. One payment turns the list into the finished pack.

Nothing to sign up for. Event Paperwork is being built now, and this page is where it opens.

2.0 — The Requirements Report

Your event needs 11 documents.

Below is the free output, as an organiser sees it. Illustrative example, for an event that does not exist.

Drafted by Event Paperwork from published guidance. Review, amend and sign off before use — the responsible person remains responsible.

The expensive failure is not a badly worded document. It is finding out, 3 weeks before the gates open, that you needed one you had never heard of.

3.0 — Today

Three bad options, and a wall of council PDFs.

  1. 01

    Do it yourself

Download the council's Word template and a generic risk assessment, then spend two evenings copy-pasting. Three weeks out, the Safety Advisory Group sends it back for what is missing.

  2. 02

    Pay a safety consultant

Professional fees and a fortnight, against an event budget of £4,000. Right for a festival, out of reach for a fete.

  3. 03

    Reuse last year's pack

Inherited from a predecessor, unread, and written for a smaller event. The dates, the capacity and the activities no longer match.

Every template site and every document generator assumes you already know which document you need. Nobody answers the first question: what does my council want from me.

4.0 — How it will work

Describe the event. Read the list. Buy the pack.

  1. 01

    Describe the event

14 questions across 3 steps: type, postcode, date, attendance, whose land, and what is happening on the day. Every question is pre-answered with a default.

  2. 02

    We name your council

One postcode gives us the council and the date its requirements were last checked. Where a council is not in the rules base yet, we say so rather than guess.

  3. 03

    Read the report, free

Every document the event triggers, the reason it is triggered, the source, and the deadline. Keep it, or send it to your committee.

  4. 04

Turn the list into the pack

One payment, then every document drafted for this event as PDF and an editable Word file. The same details, dates and named responsible person in all of them.

Line-drawn site plan of a village fete: marquee, eight numbered stalls, first aid point, a highlighted fire access lane, two entrance gates, car park and toilets.
A Site Plan is one of the 11. Every document in the pack carries this event's name, date, capacity, council and named responsible person.

5.0 — Why the list is right

The list comes from the councils, not from a template.

We read and re-read UK councils' event pages, extract what each one asks for, and version it with the date we checked. That is the rules base.

Beside it sits a mapping from activity to hazard to control, built from HSE and published council guidance. A bouncy castle, a licensed bar and 900 attending produce one list in Rushcliffe Borough Council and a different one in Bury.

That difference is the product. A template can be copied in an afternoon; hundreds of councils' current requirements cannot.

What we will not do

  • We draft from published guidance. We do not sign anything off, and no council, insurer or authority has approved our output.
  • The responsible person is you. Every document we produce says so, in those words.
  • No account before value, no email needed to read the report, and nothing that renews itself.
Line drawing of eleven ruled paperwork sheets fanned out in a stack, one edge marked with a yellow stripe.
An Event Pack is 11 documents that agree with each other. Same event, same dates, same capacity, same named person, everywhere.

6.0 — Prices

Three prices, printed on the page.

  1. Single document

    £29

One document, drafted for one specific event.

  2. Event Pack

    £99

Every document the report lists, as PDF and editable Word file, regenerable for 30 days as details change.

  3. Season Pass

    £249

Unlimited packs for twelve months, bought once. It does not renew itself.

One-time payments in pounds, taken by Coined Plaza. Nothing on this page takes a payment: checkout opens when the product does.

7.0 — Next

The paperwork is coming either way.

Event Paperwork is being built now, and this page is where it opens. Bookmark it, or send it to whoever on the committee is dreading the Safety Advisory Group email.
